Why it exists

Quotes in Word, invoices in Excel, and figures that never quite agreed

That is where we started, and it is where most small UAE businesses still are. A quotation gets retyped as an invoice and a digit changes. An LPO goes out and nobody links it to the job it was for. At the end of the month somebody adds it all up by hand and hopes.

LinkLedger exists because we got tired of that. A quotation becomes an invoice without being retyped. The purchase order you raised against a job stays attached to it, so the profit on that job is a number you can look at rather than a number you work out.

This is the part people either love or find strange, so it is worth being plain about it. LinkLedger is a program that runs on a computer in your office.

It runs on your computer

The program sits on one PC in your office. There is no cloud account to sign up for and nothing to host.

Your data is a folder

Everything lives in a single folder you can copy to a USB stick, a drive or wherever you keep your backups.

It works when the internet does not

A connection drop does not stop you raising an invoice. The program is not waiting on anyone else's server.

Your staff can still use it

Start it in office-network mode and the rest of the team opens it in their browser from their own desks.

Who sees what

Everyone gets their own sign-in, and you decide what it opens

Three roles to start from, then a list of individual permissions you can tick per person. A salesperson can raise quotations all day without ever seeing what the company made on them.

Role	What it can reach
Administrator	Everything, including settings, users and backups.
Manager	All the daily work plus the reports, and may cancel or delete documents. No settings, users or backups.
Staff	Sales documents, payments, clients and purchases. No reports, no cancelling, no settings.

The role only decides where the ticks start. Underneath it is a list — sales documents, payments, clients, purchases, services, reports, cancelling, settings, users, backups — and you can change any of them for any person.

Finding things

One box finds any document you have ever raised

Type an invoice number, a quotation number, an LPO, a receipt number, a client, a supplier, a part number or a TRN, and the matches drop down grouped by what they are. Ctrl+K puts the cursor in it from anywhere. You never have to remember which list a document lives in — which, once you have a few thousand of them, is the difference between a minute and twenty.

Reports

What you made, month by month, without adding it up yourself

Profit and loss across the financial year, revenue by client, and the margin on an individual job. Export any of it to CSV for your accountant.

Being straight with you

Who it suits, and who it does not

It suits you if

You are a trading, contracting, IT or services business in the UAE
Somewhere between two and about thirty people touch the paperwork
You buy from suppliers as well as sell, and want the margin visible
You would rather your figures sat on your own machine
You are currently doing this in Word, Excel or a mix of both

It does not suit you if

You need people working from home or several branches over the internet
You want a phone app — this is a desktop program on your office network
You need manufacturing, payroll or stock across multiple warehouses
You have nobody who can leave a PC switched on during working hours

The things people ask before they commit

What does LinkLedger cost?

It depends on how many people will be using it. Tell us the size of your team and we will quote you. Because it runs on your own computer rather than ours, there is no hosting charge on top.

Where is my data kept?

On your own machine, in one folder. It is not uploaded anywhere, and we cannot see it. Backing the business up means copying that folder.

Can several people use it at once?

Yes. Started in office-network mode, the program gives you an address on your local network and your staff open it in their browsers. The PC it runs on needs to stay switched on while they are working.

Does everyone share one login?

No, and they should not. Every person gets their own account, and every quotation, invoice and purchase order records the name of whoever raised it.

Can I stop staff seeing the figures?

Yes. There are three roles to start from and then a list of individual permissions you can tick or untick per person, so a salesperson can raise quotations without ever seeing the profit on them.

Does it handle buying as well as selling?

Yes. Suppliers, purchase orders to those suppliers, the invoices that come back, and expenses. That is what lets it show you the margin on a job rather than just the sales figure.

Can it produce PDFs to send to clients?

Yes. Quotations, invoices, delivery notes, receipts and purchase orders all print to PDF on your own letterhead, ready to attach to an email.

What do I need to run it?

A Windows PC that stays on during working hours. It is a small program - it does not need a server or anything special. We set it up for you.

What happens if that PC dies?

You restore the data folder onto another machine and carry on. The program keeps its own backups as well, and we will show you where they go when we set it up.

Can I see it before deciding?

Yes - ask us for a demo. We would rather walk you through it on a call and let you decide than have you read a feature list.
